Privacy Policy

Information we collect

• Account information: your name, email address, and authentication credentials (passwords are handled by our authentication provider and are not stored by us in plain text).
• Coursework and learning records: cohort enrollment, quiz attempts and scores, assignment submissions and uploaded files, grades and instructor feedback, attendance, flashcard study progress, discussion posts, and certificates.
• AI tutor interactions: the questions and messages you send to the AI study assistant, and its responses.
• Usage and technical data: log data, device and browser information, and aggregate analytics about how the Service is used, plus error-diagnostic data when something goes wrong.

How we use information

• Operate, maintain, and secure the Service.
• Deliver courses, grade work, provide feedback, track progress, and issue certificates.
• Send transactional emails (e.g., grade notifications, announcements, account and password emails).
• Respond to your requests and provide support.
• Monitor, troubleshoot, and improve the reliability and quality of the Service.

We do not sell your personal information.

Student records and minors

The Service is intended for students aged 13 and older. We do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it. If you believe a child under 13 has provided us information, contact us at admin@thedeepacademy.com.

Where DEEPACADEMY provides the Service on behalf of an educational institution, student education records are used only to provide the Service and are handled consistent with applicable education-privacy laws (such as FERPA where it applies). We do not use student records for advertising.

How we share information & service providers

We share information only with vendors that help us run the Service, under agreements that limit their use of it:

• Supabase — database, authentication, and file storage.
• Vercel — application hosting and analytics.
• Resend — delivery of transactional and account emails.
• Anthropic — processes AI tutor messages to generate responses.
• Sentry — error monitoring and diagnostics.

We may also disclose information if required by law or to protect the rights, safety, and security of our users and the Service.

Cookies and local storage

We use cookies and similar browser storage that are necessary to keep you signed in, maintain your session securely, and remember preferences such as light/dark theme. We do not use third-party advertising cookies.

Browser extension (DEEPACADEMY Study Time)

We offer an optional Chrome/Edge browser extension that measures your active study time so it can count toward your hours even when you study outside the dashboard. The extension is entirely optional. If you choose to install it:

• What it accesses: the web address (URL) of your active browser tab — solely to recognize when you are on an approved study site (ABMP, Gmail, Google Docs/Slides/Drive, and YouTube) — and your DEEPACADEMY login session, which it reads from this site in order to securely report your time to your account.
• What it records: which approved site you are actively using and how long you are active there. Only active time is counted (the tab is focused and you are interacting, or a tracked video is playing); idle time and non-approved sites are ignored.
• What it does not do: it does not read, collect, or store the contents of any web page; it does not track activity on sites outside the approved list; and it does not sell your data or share it with anyone other than your own DEEPACADEMY dashboard.
• Where the data goes: the time it records is sent only to your DEEPACADEMY account, where it appears in your study-time totals alongside your in-dashboard activity.

You can uninstall the extension at any time from your browser, which stops all data collection by it.

Data retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion as described below.

Security

We protect information using encryption in transit, access controls, and row-level security on our database so users can only access data they’re authorized to see. No method of transmission or storage is completely secure, but we work to protect your information and review our practices regularly.

Your rights and choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to manage email notifications from your profile settings. To make a request, email admin@thedeepacademy.com. If the Service is provided through your school, some requests may be directed to the school as the controller of your records.

Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where appropriate, provide additional notice.
